Patient booking systems for private clinics
Your Clinic Probably Doesn't Need More Leads. It Needs More Bookings.
We combine paid ads, database reactivation and CRM automation to generate and recover patient bookings.
640
Inactive patients contacted in one dental campaign
70
Hygiene recall bookings from that same list
122
Leads from about $3,800 of Meta spend in Zurich

Four questions. Then we show you which half of your funnel is leaking.

Good. Now the useful half.
Your answers point at two separate pools of bookings: the patients you have not paid for yet, and the ones already sitting in your database. Tell us where to send the audit and we will map both against your clinic type, list size and current spend.
Case study 01 / dental / database reactivation

~$14,000
Pipeline value
The clinic had 640 inactive patients sitting in its practice management system. No campaign, no follow up, no one calling them. We exported the list and segmented it by time since the last visit, so a patient who was 11 months overdue did not get the same message as one who had not been seen in three years.
Each segment received personalised SMS and email sequences written for that clinic, in the clinic's own voice. Replies were read for intent, so a question about price went to the front desk as a staff alert while a straightforward "yes, book me in" moved to scheduling.
The campaign produced 70 hygiene recall bookings. At roughly $200 per appointment, that is about $14,000 in pipeline from a list the clinic already owned.
This is a previous result from one clinic, not a guarantee. Your database size, patient value, list quality and offer will produce different numbers.

Case study 02 / dental / paid acquisition
Zurich dental clinic. Three months of Meta ads.

3months
Campaign window
A dental clinic in Zurich generated 122 patient enquiries from approximately $3,800 in Meta ad spend across three months. Offer, creative, landing page and tracking were built as one unit rather than handed over in pieces.
That is the acquisition half of the system: a predictable way to put new enquiries in front of the practice. What it is not, on its own, is a booking. Which is the part most clinics never get shown.
This is a previous result from one clinic, not a guarantee. Cost per enquiry varies by city, treatment, offer and competition.

Positioning
Getting Leads Is Only Half the System.
Most agencies stop when someone submits a form. We care about what happens after, because that is where the money is.
- Did they reply?
- Did staff follow up?
- Did they book?
- Did they show up?
- Which campaign produced the appointment?
- What happened to the old patients already in the CRM?
Acquisition, follow up, bookings and reporting belong in one system. Run them separately and the answers to those six questions live in six different places, which usually means nowhere.
Database reactivation
Before Buying More Traffic, Check Who Already Knows Your Clinic.
Most clinics are sitting on hundreds or thousands of previous patients and old enquiries inside the CRM or PMS. They booked once, or they asked once and nobody called back. They cost nothing to reach and they already trust the practice.
- 01SegmentationSplit the list by time since last visit, treatment history and lead source, so the message matches the patient.
- 02Clinic specific messagingCopy written for your treatments and your tone, not a template with the clinic name pasted in.
- 03Automated SMS and emailMulti step sequences that keep going after the first message, which is where most in house attempts stop.
- 04AI reply and intent detectionReplies are read and sorted: ready to book, asking a question, wrong number, opt out.
- 05Staff alertsWhen a human is needed, the front desk gets the patient and the context, not a full inbox to sift through.
- 06Appointment trackingBookings are recorded against the campaign, so the list has a number attached to it at the end of the month.

Bring New Patients In. Then Actually Follow Up With Them.
Ads are the front door, not the system. We build the offer, the landing page, the tracking and the follow up together, then judge the whole thing on enquiries, bookings and revenue you can point at. Cost per lead is a diagnostic, not the scoreboard.

Let's See Where Your Clinic Is Losing Potential Bookings.
- What your existing database is realistically worth in bookings
- Where enquiries are dying between the ad and the appointment
- Which of the two, acquisition or reactivation, to run first
- What follow up and reporting would need to look like in your CRM
